Data Protection Policy

The Isle of Wight Family History Society is a non-profit making Society run by and on behalf of its Members, in accordance with its Constitution

The Society is registered as a Data Controller with the Information Commissioner's Office in accordance with the Data Protection Act 1998 (our registration number is PZ1667148). The Data Controller role is currently held by the Webmaster, Geoff Allan.

Members' records

The Society maintains records pertaining to its Members, and these records comprise Members' Names and Addresses, e-mail addresses and details of Members' Interests relating to historic family history research interests. We also maintain records of payments made in the form of subscriptions and donations to the Society. None of this information is divulged to other Members without the express permission of the Member concerned.

Certain Society Officers have access to this information under controlled processes, and such access (where appropriate) is restricted to the Chairman, the Secretary, the Membership Secretary, the Treasurer, the Journal Editor and the Webmaster.

No personal details are divulged to any other organisation for any purpose whatsoever. Members' details are held in a format on the website which precludes the use of data-mining or other forms of automated trawling programs being able to identify names and addresses.

Birth, Marriage and Death Indexes

The Society has transcribed, with the permission of the Isle of Wight Registrar (contact e-mail : registrars@iow.gov.uk), the following Indexes of Births, Marriages and Deaths for the Isle of Wight.

Marriages : 1837 - 2010
Deaths : 1837 - 2010


The Index entries replicate the information which is freely available to the public on request to the Registrar. This information comprises

Births : Name, Forenames, Year of Birth, Place of Registration, Registration Reference
Marriages : Names, Forenames, Year of Marriage, Place of Registration, Registration Reference
Deaths : Name, Forenames, Year of Death, Age at Death, Place of Registration, Registration Reference


No information from the Certificates of Birth, Marriage or Death is held on the website. Such Certificates may be obtained from the Registrar or the General Register Office on payment of the appropriate fees and in accordance with the terms and conditions laid down by the Registration Service.

These Indexes are provided free of charge to any person in a searchable form on the Society's website. Since the recent entries may pertain to living individuals then the Society took advice from the UK Information Commissioner's Office and registered as a Data Controller with the Information Commissioner's Office.
